Support Staff & Admin Officers
PROCEDURES FOR RECLASSIFYING BI-WEEKLY SUPPORT STAFF AND ADMINISTRATIVE POSITIONS LAMONT- DOHERTY CAMPUS
Initiating a Reclassification Request:
A request for position reclassification of any bi-weekly support staff or administrative officer positions must be initiated by the immediate Supervisor through the LDEO Human Resources Office. These requests may be initiated any time after 6 months of employment if the supervisor believes the position has increased in duties and requirements.
As with new position creation, reclassification requests are evaluated through Columbia University Human Resources and, if approved, classified and graded in the context of all University positions. The following lists the University procedures and LDEOHR processing steps to request review of an existing administrative or support staff position.

- Supervisor completes a new Job Description* and attaches a copy of the current active Job Description along with a memo requesting a reclassification review with rationale, proposed new salary and approved by the appropriate department senior manager. (i.e. Vice President, Director or Associate Director, Department Head, or designated representative) A current CV of incumbent should be included.
(*e-descriptions can be sent from LDEOHR to the supervisor and new drafts e-mailed to LDEOHR for review/assistance prior to final submission.)
Job specific information: (LDEOHR will advise on appropriate steps depending upon position type)
2) Administrative Department/Supervisor provides:
a) a current organizational chart, if available, or a list showing the titles, grades and reporting relationships with respect to the position being reviewed. (if unavailable, LDEOHR can provide generic organizational charts or division lists for this scope data)
b) for clerical and non technical, bi weekly support staff, an employee questionnaire form is required.
To be completed and signed by the employee Countersignature is required on the Questionnaire from the appropriate supervisor and Senior Manager** (**i.e. Vice President, Director or Associate Director, Department Head, or designated representative)
c) for technical bi weekly support staff, including all levels of Research Assistants, Electronic, Lab and other Technicians, an employee questionnaire is not required.
3) All materials should be dated, signed and returned in hard copy to LDEOHR
Once a reclassification request is approved through the University, the LDEO Human Resources Manager will authorize necessary status changes (title, salary, starting date) in consultation with the initiating supervisor.
Please allow 2-3 weeks lead time prior to intended implementation date in order to complete the reclassification evaluation and approval. (NOTE: if found to be appropriately classified, no change will be recommended)
