used in Purchasing; it could be a helpful resource for further information on
Purchasing.
Management and Staff
The Purchasing staff
includes the following: 2 directors, 1 assistant, and 2 stores clerks.
Purchase Requisition
Procedure
The standard protocol for
making a purchase at Barnard is this:
1) A Purchase Requisition form is filled out by an
individual professor or staff member and submitted to Purchasing. A specific vendor, brand, or model may
be requested on the form.
2) If Purchasing recognizes that a professor is
receiving grant funding (demarcated by a Ò1Ó in the ÒAccount NoÓ space on the
Purchase Requisition form), then the Purchase Requisition Form is sent
immediately to the Controllers Office.
The Controllers Office determines appropriate vendors for purchases made
under grant funding, as grants often have specific limitations or criteria for
how money may be spent.
3) If a professor or staff member is not receiving
grant funding, Purchasing handles the Purchase Requisition form. Purchasing may override the requested
vendor, brand, or model if it knows of a less expensive option. Purchasing ensures that there is enough
funding in the budget of the professor or staff memberÕs department to cover
the expense.
4) Purchasing sends a Purchase Order to the vendor
and an invoice to the Controllers Office.
The Controllers Office is responsible for actual payment.
5) Purchasing receives the shipped item(s) at its
Central Receiving dock (located at 76 Claremont Ave.).
